Administration Assistant £20,000 - £24,000
Award winning North London based architecture studio is seeking applications for an admin assistant to join their busy practice. This is an excellent opportunity for someone looking to further develop their skills within a creative environment. You will work with the Receptionist & Practice Administrator as his/her assistant, taking particular responsibility for delivering all front-of-house activities to the agreed standards and in accordance with the practice’s QA procedures.
Activities will include:
• Ensuring that the studio is opened up each morning in line with the agreed procedure.
• Checking the answer-phone each morning and distributing messages promptly.
• Ensuring that all stationery and other supplies are in place.
• Ensuring that reception, meeting rooms and public corridors are clean and tidy at all times.
• Dealing with all incoming/outgoing post.
• Helping take incoming switchboard calls and communicating accurate telephone messages.
• Meeting and greeting clients/visitors/staff with utmost courtesy and politeness.
• Organising taxis/couriers as requested, following agreed protocols.
• Distributing all courier and other deliveries as soon as possible after receipt.
• Organising refreshments prior to all internal meetings.
• Setting up and removing projectors and other presentation equipment in meeting rooms.
• Clearing, cleaning and re-organising rooms after meetings.
• Keeping the kitchen clean and tidy, loading/unloading the dishwasher throughout the day.
• Providing assistance and support to other members of the admin team.
• Providing assistance and support to the marketing team and others as agreed.
• Managing company email accounts as agreed.
The successful applicant will be a proactive multitasker with good communication skills and the ability to work under pressure. Being front of house you will be an ambassador for the company. You will need excellent computer skills and knowledge of Microsoft Office packages.
